Job Overview
The Associate Registrar bears direct responsibility for the administration of academic policies related to exams, grades, and VA certification-overseeing the exam administration, grades processing activities and VA certification, advising faculty on exam and grading policies and processes, and enhancing existing procedures and services to address emerging needs of the Law Center community.
They work with the Registrars to develop and implement policies to meet the goals and mission of the Law Center, and share responsibility for ensuring that students have met all University and American Bar Association requirements through advising and regular monitoring of their academic progress.
As more fully described below, areas of responsibility include the following: final exam administration; accommodated exam administration in collaboration with the Director of Disability Services; mini-course and special exam administration; exam conflict and exam relief; exam review; grades processing; communications and publications; committee membership; and other duties assigned by the Assistant Dean and Registrar.
Work Interactions
Reporting directly to the Assistant Dean and Registrar, the Associate Registrar directly supervises 3 full-time staff members, and assists in the supervision and training of 8 full-time staff; and has oversight of the Exams and Grades Processing Team and collaborates with faculty and Law Center departments.
They have significant impact on the smooth functioning of exam administration, grades processing, and compliance with federal laws relating to FERPA rights - as well students' ability to meet ABA guidelines for graduation and the Bar.
As a lead representative of the central department for administration of the Law Center's academic policies, the Associate Registrar necessarily responds in a timely, accurate, and fair manner to student and faculty issues. They consistently use good judgment in presenting student concerns to the Assistant Dean and Registrar, and in proposing changes to existing policies or procedures in response to those concerns, which often directly impact students' academic success, ability to sit for state Bar exams, and compete for employment.
Qualifications
- Bachelor’s degree - preference for a Master's degree or Juris Doctorate degree
- 5 to 7 years of progressively responsible management experience – preference for a higher education setting
- Academic and/or personal advising experience
- Proven track record in project management - preference for technical knowledge and experience in systems used by higher education institutions
- Professional, calm demeanor and ability to negotiate positive outcomes in the midst of highly stressful situations
- Proficiency with database management, including reporting/analysis - working knowledge and prior use of Banner, Cognos, SQL, Microsoft Access and other Microsoft Suite of products, database creation and management, and production of ad hoc programs
- Demonstrated exemplary organizational, multitasking, and problem-solving skills, and a strong commitment to outstanding customer service
- Exceptional verbal and written communication skills
- Ability to work independently, yet collegially, with fellow staff members, students, faculty, and other administrators
- Self-motivation with the capacity for handling multiple tasks simultaneously
- Commitment to maintaining the confidentiality of sensitive information
