Job Overview

The Records Coordinator serves as both a point of first contact the Office of the Registrar, and as an intermediary for callers and visitors with questions unrelated to the services we provide. They determine which matters the Office of the Registrar will handle and then directs other questions to the appropriate office or individual.

They also respond to inquiries concerning Law Center’s administrative and academic policies and office operations; and assure the accuracy of all information conveyed to students in person, via email, or by phone – demonstrating discretion and diplomacy in all dealings.

Additional responsibilities include but are not limited to front desk support, oversight of the final paper process, backup assistance for the Veteran’s Certifying Official, assistance during final exams, as feedback provision to students.

Work Interactions

Reporting directly to the Assistant Registrar for Operations & Budget, the Records Coordinator collaborates with other members of the Office of the Registrar; and interacts with very broad constituencies, including current and prospective students, faculty, alumni, and other visitors - whether by in person, telephone, or email.

As well, they oversee the management of paper extensions through a range of responsibilities – for example, coordinating extensions with faculty members; and working closely with the grades team regarding posting withdrawals or administrative failures.

Requirements and Qualifications

  • High School diploma
  • 2 to 4 years of experience required [note: an equivalent combination of education and work experience will be considered]
  • Ability to communicate well - both oral and written - with a wide variety of constituencies, and the capability to handle the confidentiality of sensitive information
  • Ability to work with diverse constituencies, including students, faculty, staff, alumni, and other visitors
  • Ability to maintain the highest levels of professionalism and office decorum, while retaining the interpersonal skills necessary to successfully relate to other members of the Law Center community
  • Attention to detail and the ability to establish priorities
  • Working knowledge and experience using Banner, Microsoft Access, and other programs in the Microsoft suite of products
  • Self-motivation and capability to handle multiple tasks simultaneously
